Job Description
The Accounting Specialist will provide departmental financial oversight, departmental payroll and personnel management. The position will support multiple administrative support activities, and some general office support.



Responsibilities
Budgeting and Financial Management

Accountable for internal and external budgets in excess of $5,000,000; manage an additional 40-50 grants, awards, and start-up funds; reconcile all accounts each month and advise the department head and principal investigators of account balances and budgetary requirements; prepare and maintain detailed spreadsheets for each account; responsible for fiscal year close-out ensuring accounts are not overspent; distribute, verify, and reconcile department procurement card each month; collect appropriate documents and set up new vendors; process equipment, supplies, and contract invoices for payment; initiate contracts in the Contract Management System; generate multiple budget transfers and revisions; and identify and rectify financial issues in a timely manner, ensures adherence to UT guidelines.

Payroll

Prepare and enter biweekly timesheets for full-time and part-time staff, student assistants, and work study employees; review biweekly and monthly check registers and payroll distribution reports to verify payroll and accounting accuracy; initiate additional pay requests as needed each month; compile adjunct and overload pay requests each fall and spring semester as well as summer pay requests for each of 3 summer terms; ensure completion of effort certification for monthly employees who are paid from restricted accounts; and identify and rectify payroll issues in a timely manner.

Personnel

Meet with all new faculty, adjuncts, graduate assistants, student assistants, and term research employees for department orientations and completion of required hire paperwork; hand deliver all sensitive documents to Human Resources or CAS Dean's Office; initiate stipends and tuition fee waivers and collect contracts for graduate assistants; act as liaison between T/TT faculty, the department reappointment, promotion, and tenure committee, the department head, and the dean; utilize Interfolio and Oracle to compile information as requested by department search committees and the department head, and initiate terminations in Oracle; maintain inventory of records according to University policy.

Administrative Support

Provide administrative support and problem-solving assistance to the department head; attend department meetings and take notes as back-up to Administrative Support Assistant; communicate with the Scholarship Office regarding the awarding of 10+ departmental scholarships; work with department head and BGE Student Awards/Relations Committee to prepare letters, awards, and certificates for scholarship recipients and multiple other departmental student awardees; assist BGE Student Awards/Relations Committee with the planning and implementation of a fall meet-and-greet and a spring awards banquet for department majors, faculty, and staff; and provide information, coordinate, and help edit 5-year review documents for 4 programs.

General Office Support

Serve as back-up to the departmental Administrative Support Assistant - assist students/visitors, handle travel issues, transcribe minutes, etc... as needed.

Qualifications
Minimum Qualifications: High school diploma or GED and four years of accounting experience in an office setting; two years of experience equates to one year of post-high school education.

Preferred Qualifications: Bachelor's degree and four years of complex accounting and personnel experience in an office setting; knowledge of Oracle, CMS, Banner, Canvas, One Drive, Outlook, Word, Excel, Adobe Acrobat, SharePoint; and knowledge of Human Resources protocol regarding the collection of hiring documents such as the I-9 and W-4 forms.
